Four weeks out
Confirm the contract end date, the supplier contact, and which measures the last agreement referenced. Pull delivery and quality history for the life of the current term, not only the last quarter.
Two weeks out
Draft the performance summary and price comparison. Circulate internally for factual corrections — missing credit notes or agreed exemptions should be caught here, not across the table.
One week out
Finalise talking points: strengths the supplier can claim, exceptions that need a remedy, and questions that still lack data. We do not join the negotiation itself; the pack is for your buyer’s brief.
